Director of Operations

East Bay Innovation Academy (EBIA) is proud to be a free public charter school bringing project-based curriculum, social emotional emphasis, design thinking, and blended learning to students in Oakland, California.

You will
  •    Oversee all operational aspects of the school
  •    Establish and maintain efficient and effective systems and procedures.
  • Manage the Back Office Administrators, Office Assistants, and other operations staff with a focus on development, partnership, and delivery
  • Understand and implement COVID safety protocols and policies, serving as resident leader and expert
  • Coordinate HR administration including background checks, onboarding, offboarding, personnel files, coordination of benefits and administration of leaves.
  • Facilitate hiring, including collaboration with Hiring Manager for JD creation, job posting, initial screening of candidates, and creation of employment agreements.
  • Understand, monitor, and facilitate CTC credentialing paperwork and processes. This includes facilitation of Induction and submitting short-term applications and waivers with CTC.
  • Oversee payroll processing including timesheet capture, teacher coverage pay, stipend and bonus processing, payroll file creation and quality assurance in partnership with Paylocity and our back office service provider.
  • Oversee accounts payable including invoice coding, processing and payments. Facilitate bank deposits as needed.
  • Negotiate, draft, and implement contracts with vendors. Oversee and implement purchasing.
  • Oversee facilities maintenance and optimization
  • Manage 700+ student Chromebook fleet, staff PCs, and other technology assets in partnership with Back Office Adminstrators and an IT consultant firm
  • Maintain vendor files, electronically and paper files, of our portfolio of service providers including education delivery, technology, back office services, insurance, payroll, and other third party relationships.
  • Support the Executive Director and Principals in implementation of the CBA and the Employee Handbook.
  • Support the establishment and maintenance of efficient and effective systems and procedures for the business operations of the school.
  • Support special projects as needed. Examples of special projects including: compliance reporting, operational support for new programs, events.
  • Understand, promote and support the mission, vision and guiding principles of EBIA.
You have
  • 5+ years in Operations leadership
  • Familiarity with bookkeeping/accounting, payroll processes, Human Resources laws and best practices, systems for documentation and tracking
  • Experience with Google Drive, Netsuite, and comfort with online services such as BambooHR, Paylocity, Benevity, or similar operations platforms
  • An ability to balance strategic policy with customer service
  • Adaptability to change; able to work in a dynamic, creative and entrepreneurial environment, and to problem-solve and manage ambiguity and adversity.
You might also have
  • Experience working in schools and/or with Unions
  • Experience with the California Teaching Commission credentialing requirements
